  REPORTING GUIDELINES  
 

GRANT REPORTING

 Every organization receiving a grant from the Foundation has a responsibility to report on the use of the funds granted.  Reporting guidelines and dates are set forth in the grant agreement. These reports should be brief, should cover progress of the project, and should also evaluate the results achieved.  The Foundation will not consider another proposal from an organization that has not submitted a final report on a prior grant.

 Changes during the grant period:

 Foundation approval must be obtained for any modification of the objectives, and major changes in the budget or timeline of the project for which grant funds have been awarded. 

The Foundation should be promptly notified about any of the following:

    • Change in name, address, phone number of the organization
    • Change in key personnel of the project or organization or in the grant contact person identified in the original proposal
    • Any development that significantly affects the operation of the organization

 Interim Reports:

At designated points during the project, a grantee should summit an Interim Narrative Report summarizing the work completed to date as well as an Interim Financial Report, which documents project expenses and funds expended to date.

 Final Reports:

Once all work on the project has been completed, a Final Narrative Report describing activities undertaken and an evaluation of their effectiveness in attaining the goals of the project is required. Once all the funds have been expended, a Final Financial Report is required.

Questions for Narrative:

  • What were the goals of the project?
  • What specific activities were undertaken with the grant award to achieve those goals?
  • Describe the results of the evaluation of this project?
  • Describe the project's impact on the target population.
  • What follow-up activities are planned?
  • How were the grant funds spent?


PUBLICIZING THE GRANT

The James F. and Marion L. Miller Foundation encourages its grantees to publicize its grants, if they wish to do so. Grantees should seek approval from the Foundation on the wording of planned releases.  If the grantee's representatives are interviewed about the activities supported by this grant, the grantee agrees to cite the Foundation's support.  The grantee agrees to include with its final report copies of media articles citing the Foundation's support.
